Privacy Policy

  

Introduction:

Total Law Tutoring is committed to protecting the privacy of all visitors to our website. The website is totallawtutoring.co.uk. 

The following policy explains how any data passed to us is used and stored to comply with our registration under the General Data Protection Regulations (GDPR). 

Personal data that we collect/request

In order to set up either online tutor sessions, face to face tutor sessions or to facilitate the sale/ purchase of legal packs we ask for your name, contact number and email address. If there is a preference to receive tutor sessions at a student’s home or to receive a legal pack, we also request a postal address. 

We never ask for bank details. Our payment system is to invoice in advance of a tutor session and to receive a payment online from you in advance of a booking. 

Personal data that is stored.

We store all information through our website securely through password-controlled access and on an external facility. We connect with students/ candidates through zoom. This is a facility to which we subscribe. A zoom link is sent to your designated email address to connect in a tutor session.

There is the facility to record a tutor session through the zoom platform. Data may be stored by zoom to support the recording. Zoom send to us a link for the recording which we then forward to you upon request. Our invoicing is through the platform stripe. Your email contact details are stored on the stripe platform. This is to permit online invoicing to be sent to you. 

Our service extends to script drafting. This may require draft assessment work being sent to us that contain additional data connected to you, such as a student reference number. Draft scripts are stored securely on an external facility. 

How we use data through our website. 

We use your email address primarily to make contact online for agreed tutor sessions. The use of email is necessary to generally communicate with you to set up a tutor session. We use the facility stripe to generate invoicing. Your email address will also be used to identify you as the relevant person to invoice. From time to time we use paypal also. This will require your details to be utilised by the paypal platform to facilitate payment of tutor fees. Paypal will make contact with us to advise of payments that have been received and will provide sufficient detail of your identity, such as your name and email address, to connect the payment to your tutor account. 

If we have agreed to a home visit the data collected will include your full address in order to enable home visits to take place. It is common to also receive assessment work and draft scripts of work provided by you. This may contain your name and reference number of your registered university. The data will be accessed only to identify the work that we are to review and to provide positive feedback. 

How data is shared. 

We engage in active marketing of the tutor service we offer. This for example is through Facebook, google ads, you tube ads, Linkedln. We may receive data specific to your name and email address via such advertising. We have no control of any data held or utilised by the named platforms. Any data received by us however remains secure and confidential. Obviously, it is never possible to give a 100% guarantee that data will always remain safe and secure due to cyber-attacks. As already explained our use of pay pal, stripe and zoom requires your data to be shared to facilitate contact and to initiate billing. This is limited to your email address, and name purely for communication purposes. We have no control over the level of protection provided by the respective platforms in processing data to facilitate a service in which we can communicate with you. 

Disclosure of information.

We will only disclose to you information that we hold for you, at your request. The only exception to this policy is a situation where we are under a duty or otherwise ordered to disclose information to comply with a legal obligation in connection with matters such as fraud or money laundering. 

Use of cookies on the website.

We use cookies to analyse website traffic. We offer the facility to either accept or decline the use of cookies on the site. By accepting our use of cookies, your data will be aggregated with all other user data. We do not store data from the use of cookies. The use of cookies is to determine how you accessed our site, your location, and the type of products and online services that were attractive to you. We use this data to improve the service on our website for advertising purposes only. 

Security.

We guard all data received extremely carefully to keep this as secure as possible. Unfortunately, as data is exchanged through electronic means there is always a risk that a communication or other stored data may subject to an unauthorised attempt to gain access. We cannot guarantee that our server or facilities to store data will not be subject to an attempt by an unauthorised third party to attempt access. There is always a risk element when using electronic means to send data. We do however endeavour to follow GDPR guidelines for data protection when accessing our website or using all of our services on offer. 

Data retention. 

We only retain your accurate, complete and up to date personal information for as long as is necessary. As a matter of policy once all services that we offer are no longer required we permanently delete your personal information, to maintain updated and accurate records of live data only. Where you have consented to us to use your details for direct marketing, we will keep this data until you notify us or otherwise withdraw your consent. 

Legal rights.

We are registered through GDPR in recognition of how seriously we take data retention and your rights. We will therefore:

Ø Provide details free of charge of any data we hold that is personal to you;

Ø Permanently remove at your specific request and without charge to you any personal data that we hold of you;

Ø Remove any personal data we hold for marketing purposes or generated through the use of cookies;

Ø Correct any data we hold on your behalf at no cost to you;

Ø Respect your wishes and instruction where consent to hold data is removed requiring permanent deletion of that data;

Ø Not process any personal information and/or other forms of data personal to you if we receive an objection to the processing of your personal data. 

We do reserve the right to charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Our policy provides for a £15.00 administration fee under such circumstances where we estimate excessive tasks and/or instruction to take no longer than 30 minutes. 

We will aim to deal with any genuine request within 7 days. 

Changes to privacy policy 

Any changes to our privacy policy will be notified on our website. 

Queries and complaints.

You have the right to raise a complaint with us on any data issues. We are committed to compliance with all privacy laws and pursuant to our GDPR registration. In the event that we are not able to resolve any issues that you raise; you can complain to the information Commissioners Office (“ICO”). Our company privacy registration number is ZB032460
